Replacing an aging office server — or finally tidying up files scattered across laptops, USB drives and a half-used Google Drive — sounds like the kind of project that means a weekend of downtime and a week of chaos. Done properly, it does not. Here is how a migration to a managed cloud server actually goes, and what to expect at each stage.
Stage 1: We learn how you work
Before anything moves, we map out your current setup: how many people need access, what software you run, where your data lives today, your folder structure, and which staff should see what. This is also where we right-size your plan, so you are not paying for capacity you will not use. Nothing technical is required from you here — just a conversation.
Stage 2: We build your server
We provision your Windows Server 2022 environment, install Microsoft Office and any line-of-business applications you use, create user accounts, and set up the folder structure and permissions we agreed on. All of this happens in the background while your existing setup keeps running normally. Your team is not affected at this stage.
Stage 3: We move your data
Your files and data are copied across to the new server. For most small businesses this is straightforward; for larger data sets we do an initial bulk copy ahead of time, then a final sync of anything that changed right before cutover. The goal is that when you switch, everything is already there and current.
- Files and folders, with their structure preserved.
- Email, where you would like it hosted or connected.
- Application data — for example, your MYOB or Xero company files.
- Printers and any shared resources your team relies on.
Stage 4: Cutover — usually near-zero downtime
Cutover is the moment your team starts working on the new server instead of the old one. Because the server is already built and your data is already there, this is typically quick and often scheduled for the end of a day so the team simply logs in to the new environment the next morning. One of our real clients — a building-permit company with 24 users — completed their full migration over five days with no disruption to billable work.
Stage 5: We stay on it
After cutover, the server is fully managed: updates, monitoring, backups and support are ongoing. If a folder needs reorganising, a new user needs adding, or someone needs help connecting, that is what we are here for.
How long does it take?
For a typical small business, plan for one to two weeks from first conversation to cutover — most of that is preparation that happens quietly in the background, not downtime. Larger or more complex environments take a little longer, and we will give you a realistic timeline once we understand your setup.
What happens to the old server?
Once you are settled and confident on the cloud server, the old box can be retired. Many clients keep it powered down for a short while as a comfort blanket, then decommission it — no more hardware to maintain, replace, or insure. The savings from not refreshing on-premise hardware are often what makes the move pay for itself.
